We all love email because it is so simple to communicate with anyone in the world...

The Problem. We send confidential information insecurely, we can’t track it and revoke it, and large files may bounce. We also hate to install or learn new apps to address these problems. Meanwhile, enterprises struggle with rising costs, unmanageable disaggregation of data, and compliance policies.

The Captmail Solution. Captmail finally breaks down the barriers to the global exchange and tracking of confidential and large documents from your usual email clients with no plug-ins. Captmail sits between the mail server and the Internet and transparently captures and handles the email flow.
Captmail is an email server filter that modifies messages by replacing attachments with secure links. Captmail enables the sender to optionally request recipient identification, and to track events related to the message. All this happens with “email as usual”: same user’s email client and enterprise email server.


Total Security. Users can securely send any size file to anyone with their email client (i.e. Outlook). Recipients retrieve the files from anywhere with their email or any browser, while the sender has tracking ability. Extra security can be selected by the sender to comply with HIPAA and other policies.

Enterprises are severely impacted by unmanageable growth of email, security patches, and rising costs: this product satisfies the unmet needs of service security, privacy, reliability, tracking, auditing, and compliance, without changing the existing IT infrastructure, and at the same time reducing operational costs.


The Captmail Virtual Machine (VM). An entire Xapio system with its supporting environment is packaged in a single file as a VMware® virtual machine. This includes the Captmail software suite, a mail gateway, a database, a web server, file storage, and the guest OS. All subsystems may run independently of one another and communicate via standard internet protocols. They operate as intelligent agents, providing services to one another as needed.

Product Requirements

Compatibility. The Captmail VM runs on any hardware and operating systems supported by the free VMware® virtual machine player.

Hardware Resources. 4GB of disk space and a minimum of 256 MB of memory to run the Xapio VM. Any additional memory allows Captmail to process even larger attachments. The disk space requirement does not include the storage of user data.

Mail Servers. Any email server that communicates over the SMTP protocol.

Clients. All the most common email clients and web browsers on any platforms.

Captmail and Enterprise IT. The self-contained Captmail VM is easily integrated into the IT infrastructure, since all interaction, including VM administration, takes place over standard internet protocols. The Captmail VM is inserted into the mail flow between the organization's perimeter and the email server, where it filters the email traffic. Email transfer is performed over the SMTP protocol, with TLS encryption if required. Documents that reach the Captmail VM as email attachments, whether inbound or outbound, are stripped from the message, saved on file storage, published on a secure web site, and made available to the appropriate users via unique web links that are inserted in the modified email message before it's sent on to its destination. All the technological blocks required by the whole process – mail transfer agent, web server, file storage, database, and the proprietary code that makes it all possible – are present and tightly integrated on the Captmail VM. Depending on the customer's needs and preferences, some of the Captmail VM's building blocks listed above can be supplemented by resources already available in the infrastructure.
